The project proposal is the first and most fundamental proposal you would need in organising an event. The project proposal acts as a guide and reminder for you and your committee members, as well as a document to brief your organisation on the project. Every project requires funding, and the project proposal serves to justify and convince your organisation to release the dollars and cents.

 

The project proposal describes the various activities and actions that would be taken to resolve a problem. The problem could be a lack of interaction among residents in an estate (therefore, solution is to organise estate parties to bring them together) or the lack of awareness to recycling (hence, a carnival to raise such awareness). 

 

These are some of the details you would need in your project proposal:

 

  1. Identifying the Objectives
    • Give a brief background of the project
    • Apply the 5 "W"s - Why organise this event? What is the purpose? Which problems are you tackling?
    • Indicate the goal of the event and your target audience

  2. Content of Project
    • Apply 1"H" - How are you going to achieve what you stated in (1) above?
    • List the various strategies and methods that you will be adopting
  3. Project Venue and Timeline
    • Include the locations for your event, rehearsals, packing, storage, etc.
    • Create a timeline for your project, beginning with a starting date and an ending date
    • This can act as a schedule guide for your peers and yourself
  4. Resources/Support
    • Financial Resources
    • Manpower
    • Infrastructure support and equipment
  5. Budget
    • Formulate a detailed income/expenditure spreadsheet and indicate any deficit/surplus
    • Indicate any sponsorship/funding/grants and your allocated budget
    • Include your strategies to source for more funds
  6. Details of Organisers
    • Who are the organisers and partners involved?
    • Description on partners' capacity and capability
  7. Project Committee and Management
    • The Committee structure of the team
    • How often will the committee meet
  8. After Action Reviews
    • How is the committee going to monitor the progress
    • Evaluation of project - What are the criteria of a successful project?
    • Further plans - What happens after the project? Any follow-ups?
